This position’s focus is to provide facility event coordination and office support. Planning and preparing spaces for onsite meetings and events throughout the Waltham facility. Assisting with new hires, moves, and changes in the Space Database. Providing daily customer service coordinating with other departments. Physical demands associated with this position may include walking, lifting & carrying weighted materials (up to 50 lbs.).

Responsibilities
KEY DUTIES:
- Facilities Event Planning
- Conference Room and Event Preparation Duties
- Understanding the planning of events due to size and capacity restrictions. Assist and make recommendations for furniture configurations.
- Physical room set ups and break downs.
- Communication with end users on setup needs.
- Scheduling of Training Rooms.
- Follow all site security measures for office visitors and outside vendors.
- Accurately maintain inventory of meeting room furniture, easels, frames, and supplies
- Space
- Assist with New Hire Coordination / MAC (Moves/Adds/Changes)
- Make Nametags for new hires and moves.
- Prepare seating assignments for new hires, moves, terminations.
- New Hire Orientation
- Assist with Furniture inventory and configurations.
- OfficeSpace administration
- Cleaning and Janitorial
- Assure Cleaning Daily Checklist are completed appropriately.
- Relying of instructions to nighttime cleaning crew for specialized tasks
- Coordination with other Facilities personnel (Managers) on set up of cleaning tasks.
- Support
- Backup to the Shipping and Receiving and Laboratory services functions
- Assist the site operations department as needed.
- Administrative
- Coordinate APP requisition PO process.
- Coordinate Agiloft contract process.
- Assist with department SharePoint and Smartsheet
- Create signage, plotter printing, and postings.
Qualifications
PREFERRED QUALIFICATIONS:

- Good understanding of Event and Move Procedures.
- Ability to prioritize and multitask.
- Great Customer Service skills.
- Ability to work effectively and collaboratively across departments.
- Good organizational skills and good written and verbal communications skills
BASIC QUALIFICATIONS:
EDUCATION AND EXPERIENCE:
- Associate’s Degree+ or related corresponding experience.
- Proficient in Microsoft Office or equivalent suite.
- Minimum of 2 years in a related industry with direct office service experience.
